Who we are

ZMN Analytics is an independent website optimization consultancy and is the data controller for personal data collected through this website. This policy explains what personal data is collected, why it is collected, how long it is kept, and the rights you have under the UK GDPR and EU GDPR.

Personal data we collect

  • Contact form submissions: your name, email address, company or website URL, phone number if you provide it, project timeline and the content of your message.
  • Direct correspondence: any information you share with us by email, phone or during a call, including notes and proposals relating to your enquiry.
  • Client project data: access credentials or analytics access you grant us for agreed work, plus reports and findings produced from it.
  • Technical and usage data: IP address, browser and device type, referring page, pages viewed and approximate location, collected only where you have consented to analytics cookies.
  • Cookie consent record: your saved cookie preferences and the date they were set, stored locally in your browser.

We do not knowingly collect data from children and we do not collect special category data. Please do not send sensitive personal information through the form.

How we use your data

  • Responding to your enquiry and preparing a quote or proposal.
  • Delivering agreed consultancy services and communicating about live projects.
  • Maintaining business records, invoices and other documents we are required to keep.
  • Understanding how the website is used, in aggregate, so that content and performance can be improved.
  • Protecting the website against abuse, spam and security incidents.

We do not sell personal data, and we do not share it with third parties for their own marketing. We do not use automated decision-making or profiling.

Legal basis for processing (GDPR Article 6)

  • Consent — analytics and other non-essential cookies, and any optional marketing emails. You can withdraw consent at any time via Cookie Settings in the footer.
  • Contract — processing needed to prepare for and deliver a consultancy engagement you have requested.
  • Legitimate interests — replying to enquiries, keeping business records, and securing the website. We balance these against your rights and interests.
  • Legal obligation — retaining accounting and tax records for the period required by law.

How long we keep data

  • Enquiries that do not lead to work: up to 12 months from the last contact, then deleted.
  • Client project records and correspondence: for the duration of the engagement and up to 6 years afterwards, in line with accounting and tax requirements.
  • Analytics data: retained by our analytics provider for a maximum of 14 months in aggregated form.
  • Cookie consent record: up to 12 months, or until you clear your browser storage.

Third-party services and processors

We use a small number of trusted providers who process data on our behalf under written terms and only on our instructions:

  • Website hosting and content delivery — serving this site and keeping server logs for security.
  • Email provider — receiving and storing correspondence with you.
  • Website analytics (for example Google Analytics 4) — aggregated usage measurement, loaded only after you consent to analytics cookies, with IP anonymisation enabled.
  • Embedded content — third-party embeds such as video or maps may set their own cookies once loaded; these are covered by the providers' own privacy policies.

Some providers may process data outside the UK or EEA. Where that happens, transfers are covered by appropriate safeguards such as the UK International Data Transfer Addendum or the EU Standard Contractual Clauses.

Your rights under GDPR

  • Access — request a copy of the personal data we hold about you.
  • Rectification — have inaccurate or incomplete data corrected.
  • Erasure — ask us to delete your data where there is no overriding legal reason to keep it.
  • Restriction — ask us to limit how we use your data while a concern is resolved.
  • Portability — receive data you provided to us in a structured, machine-readable format.
  • Objection — object to processing based on legitimate interests, including any direct marketing.
  • Withdraw consent — withdraw cookie or marketing consent at any time, without affecting processing already carried out.

You also have the right to lodge a complaint with your local data protection authority — in the UK this is the Information Commissioner's Office (ico.org.uk), and in the EU it is the supervisory authority in your country of residence.
